Custom Systems That Replace Your Spreadsheets

When a business outgrows Excel and WhatsApp groups, the cost shows up as lost stock, late invoices and reports nobody trusts. We build the system that runs your actual process — not a generic package you have to bend around.

  • Built for how your organisation already works
  • Java / Spring Boot — the stack that still runs in ten years
  • Reports your accountant, your board and your bank will accept

Who this is for

When off-the-shelf software stops fitting

Most organisations try a generic package first, then discover their real process does not fit it. Custom is worth it when the mismatch costs real money every month.

  • Distributors and retailers losing track of stock across branches
  • Service businesses managing bookings, jobs and technicians
  • Companies invoicing manually and chasing payments by phone
  • Schools handling fees, admissions, records and reporting
  • SACCOs and micro-lenders managing members, loans and repayments
  • Any organisation where two people spend their week re-typing the same data
What you get

Everything included

  • Process mapping. We sit with your team and document how the work actually happens today.
  • The system itself. Inventory, invoicing, bookings, jobs, HR, members, fees — whatever your process needs.
  • Roles and permissions. Each person sees exactly what their job requires and nothing more.
  • Payments built in. M-Pesa, bank and card payments received and reconciled inside the system.
  • Reports that matter. Sales, stock, debtors, margins, arrears — exportable to Excel and PDF.
  • Deployment. Hosted on your server or a cloud instance, with backups configured and tested.
  • Training. We train your staff on the real system with their real data.
  • Documentation and code. Written guides plus the full source code, handed to you.
Pricing

Custom software pricing

Every system is different, so these are the ranges we see most often. A written scope and fixed price come after a proper discovery session.

We usually recommend starting with the single process that hurts most, proving the value, then extending. It is cheaper and far more likely to be adopted by your team.

How it works

How a system gets built

1. Discovery

Half a day with the people doing the work. We map the process and identify what is actually costing you.

2. Scope and fixed price

A written specification and a price. We deliberately cut scope to what pays for itself first.

3. Build, train, deploy

Delivered in stages you can see, then installed, tested with your data and taught to your team.

Questions

Custom software questions

Why not just buy off-the-shelf software?

Often you should, and we will say so. Buy when your process is standard; build when your process is what makes you competitive, or when licence fees and workarounds for a package that nearly fits cost more than building the thing that actually fits.

How much does custom software cost in Kenya?

A single-process system such as invoicing or bookings starts around KSh 80,000. A departmental system runs KSh 180,000 to KSh 400,000. Full multi-department systems start around KSh 350,000. You get a fixed written price after discovery, not a vague hourly estimate.

What technology do you use?

Mostly Java with Spring Boot on the backend, a modern web front end, and PostgreSQL or MySQL. It is deliberately boring, well-documented technology, so any competent developer can maintain it years from now — including one who is not us.

Can it run without internet?

Yes, where that matters. We can deploy on a local server in your premises so the system keeps working when the connection drops, and syncs to the cloud when it returns.

Will it connect to our other systems?

Yes. We integrate with accounting packages, payment providers, SMS gateways and other systems through their APIs or file exports.

What if we need changes later?

You will — every business changes. You own the source code, and most clients keep us on a monthly maintenance plan. But you are free to take the code to any developer.

We build the rest of it too

Most clients start with one thing and grow into the others. It all comes from the same team.
